GRPI model

First of all, the objectives that a team is after are to be well defined. These objectives need to be defined following the SMART rule (specific, measurable, attractive, realistic, time-bound); and they also have to be shared by all team members.

  • What does the team has to reach, concretely?
  • Which are the performance criteria (KPI)?
  • By what time do the objectives have to be reached?
  • What are the resources at disposal?
  • Is there a set order for the under-objectives?
  • How and how frequently does the client want to be updated?

Another key factor is the definition of the roles of the single members of the team, and the sharing of responsibility. At this stage, it is also important to understand whether the team possesses the kind of expertise needed in order to fulfill their objective.

  • What expertise are there inside of a group?
  • What can be taken care of?
  • Who takes care of reporting and documentation?
  • Who coordinates the team meetings?
  • Who monitors, checks and documents the results?
  • Who communicates with individual stakeholder?

Working processes explain "how" to fulfill the objectives that were previously defined. For instance the activities to be carried out are defined here, as well as the sequence of the activities and who does what by when.

  • Which are the activities to be carried out and who is involved in their execution?
  • Who does what by when?
  • Planning with milestones
  • Who communicates with whom?
  • What resources does a team need, and in which phase of the project/process does this need occur?

Eventually the team shares the "soft" rules of their collaboration, meaning that they decide the rules and values that have to be at the foundation of a collaboration based on trust and mutual respect. For instance the desirable aptitudes and behaviors are defined.

  • How do the members of a team want to relate to each other?
  • How can they establish a collaboration of trust and respect?
  • Which are the collaboration rules set by the members of the team?
  • Which are the personal objectives of the members of the team?
